1. Collection of Information

GURONEx may collect and process the following information:

• Personal information such as name, email address, faculty or employee ID, department, and employment-related records.
• Uploaded documents including academic requirements, contracts, certifications, and other institutional records.
• RFID attendance logs including check-in and check-out timestamps.
• System usage data necessary for monitoring system performance, security, and operational improvements.

2. Purpose of Data Collection

The collected information shall only be used for legitimate academic and administrative purposes, including:

• Faculty and employee record management
• Attendance monitoring through RFID technology
• Document submission, storage, and retrieval
• Communication and notification services
• System evaluation, maintenance, and security monitoring
• Institutional reporting and operational improvements

3. Data Confidentiality and Security

GURONEx implements appropriate security measures to protect user information from unauthorized access, disclosure, alteration, misuse, or loss. These measures include:

• Password-protected and role-based access controls
• Encrypted storage and secure databases
• Restricted access to authorized administrators and personnel only
• Regular monitoring and maintenance of system security

In compliance with Republic Act No. 10173 (Data Privacy Act of 2012), the system ensures that personal information is processed fairly, securely, and only for authorized purposes.

Under Republic Act No. 10175 (Cybercrime Prevention Act of 2012), unauthorized access, hacking, identity theft, data manipulation, or any malicious activities involving the system are strictly prohibited and may result in disciplinary and legal action.

4. User Responsibilities

Users of the system are responsible for:

• Providing accurate and updated information
• Protecting their login credentials from unauthorized use
• Using the system only for authorized academic and administrative purposes
• Avoiding activities that may compromise the security and integrity of the system

Users shall also comply with applicable cybersecurity and data privacy regulations while using the GURONEx system.

5. Data Sharing and Disclosure

Personal data collected within GURONEx shall not be sold, shared, or disclosed to third parties without proper authorization, except when required by institutional policies, legal obligations, or authorized university officials for legitimate purposes.

Electronic records and digital submissions processed within the system are recognized in accordance with Republic Act No. 8792 (Electronic Commerce Act of 2000).

6. Data Retention

Information stored in the system shall only be retained for as long as necessary to fulfill institutional, operational, and academic requirements. Records may be archived or securely deleted in accordance with university data management policies and applicable laws.

7. User Rights

Users have the right to:

• Access their personal information stored in the system
• Request correction of inaccurate or outdated data
• Report privacy concerns, unauthorized access, or misuse of information
• Request clarification regarding the handling of their data

These rights are protected under the provisions of the Data Privacy Act of 2012.

8. Consent

By using the GURONEx system, users acknowledge that they have read, understood, and agreed to this Data Privacy Policy and consent to the collection and processing of their information for system-related purposes.

9. Policy Updates

The administrators of GURONEx reserve the right to modify or update this policy when necessary to comply with institutional requirements, technological advancements, or data protection regulations. Users will be informed of significant changes when applicable.
